Meeting to Order was called by Martha Larson at 7:10

 

A motion to amend the October minutes with a correct balance of 6,789.03 to the treasure report was made by Mark Larson.  Seconded by Dave Taylor.  The amendment was approved without opposition.   

 

Balance is: $6676.08

Normal expenses: $10.41 Ameren, $44.00 March, Mcmillan, DeJoode & Duvall. Reimbursement of $98.45 was made to Andrea Ratermann for the Children’s Parade/Fall Picnic. 

Upcoming payments – Dave Taylor will be submitting his bill for mowing soon, $2200 – ($200 under the bid of $2400)

Sewer Committee Report: Dave Taylor

6 houses are still unpaid.  Dave has the measurements for the new pump.  He is still trying to get a discount.  Everything seems to be running well. 

 

Please do not flush wipes or other items that are not biodegradable.

Burn Pile Committee

 

The burn pile looks good.  There are some plastic bags of leaves and grass clippings that have been placed on the pile.  The burn pile will be closed after the first of the year and will be reopened in spring. 

 

BURN PILE RULES:


The burn pile is located on the unpaved road at the end of Fawn Ridge.  Proceed down Fawn Ridge to the end of the street and you will see an unpaved road.  Drive slowly down the unpaved road as it is very rough and uneven.  Drive until you see a brush pile in the clearing to the left.  Be careful, the road ends in the river.  If you hit water you have gone too far!

ONLY trees, shrubs, leaves, and other wood products should be placed on the burn pile.  Stack brush up, not out flat.  Do not place material near the road.  The pile burns best when it is stacked high.

Old Business:

  

Bob Northcutt brought copies of a visual inventory of the Meadowbrook properties.  We have short descriptions of some properties.  Bob is going to go to the county clerk to get more detailed descriptions of the common areas were questioning.  The topic will continue at the December meeting.

 

New Business:

 

Luminaires will be discussed in the December meeting. 

 

Dr. Lin is retiring December 31st, 2013.  He has put in many years of great service to the town of Macomb. 

 

The Slate of officers will be available for the December meeting.  We are looking for area reps and president elect.  If you are looking into getting involved on the board please let us know!

Normal expenses: $10.41 Ameren, Reimbursements were made for the garage sale ad and the directories.

A large expense for a new blower is anticipated.  We have enough cash on hand to cover this expense.  We will also need to buy sludge bugs in the spring.

The Children’s Parade and Annual Picnic was well attended, around 45 residents attended.  President Nick Knowles announced the winner of the Beautification Award –

 

Congratulations Paul and Dawn Sweet!

 

Special thank you to Bob Northcott for removing the playground equipment due to the safety concerns.  Discussion was begun on what can be done to improve the ball field area. 

 

We received a bid from the Gray Brother’s for cleanup of the common areas – trimming trees, general maintenance, clean-up of the stream, cutting down a dead tree - $850.

 

Discussion followed about what property Meadowbrook owns in the entrance area.

 

Dave Taylor stated he would take care of cutting and trimming and maintenance of the entrance area for the $2400 he bids for mowing.  (This would be the $200 he did not bill for mowing.)

 

The topic of maintenance of the common areas was tabled until the November meeting. 

 

New Business:

 

Discussion continued about the legal boundaries of Meadowbrook and it was suggested that a survey for boundaries may be an upcoming necessity. 

Bob Northcutt stated he would go to the court house to see what information is available. 

 

Marilynn Hopper spoke with a representative from Jackson Disposal regarding waste disposal.  They stated they could offer prices significantly less than Waste Management.  This topic will be discussed at the Annual Meeting as any changes will be neighborhood wide.  President Nick Knowles stated he will contact Jackson Disposal for more information and will contact both Waste Management and Jackson Disposal to give them the opportunity to attend the annual meeting for questions.

There is one pump that is not working and needs repaired.  It should be under warranty.

Do not dump grease down the drain.  If you flush wipes, please make sure they are labeled “biodegradable”.  Items that can’t break down cover the airlines and cause breakdown to the system. Please do not flush items that are not meant to be flushed.  It will be a major repair in the future if inappropriate items continue to be put in the sewer system.

The sludge bugs seem to be working and keeping the odor down.

Old Business:

 

A certified playground inspector examined our playground and recommended that it be removed.  The metal swing set has many pieces that are not secured.  The wooden set also has many safety concerns.  It is a liability to the association.  A motion was made by Marilyn Hopper to have the play sets removed.  The motion was seconded by Bob Northcutt and approved without opposition.  

 

The Beautification Committee is accepting nominations for the annual Beautification Award.

The winner will be announced at the cookout following the children’s parade.

 

The Heaton’s yard continues to look beautiful.

 

The Annual Children’s Parade has been set for September 29th

The parade will begin at 3:30 and there will be a cookout and games to follow at the ball field. 

$150 has been set aside for expenses. 

 

We have a resident interested in serving as President Elect for the remainder of the 2013 to be President for the 2014 year!  If you are interested in getting involved and serving on the board please contact any board member.  Jason Cale has agreed to move into the slate for President for the 2014 year.  We are looking for an area rep for area 6.  This is a great opportunity to meet your neighbors and get involved!

 

Discussion continued on having a vote at the annual meeting of raising dues from $40 to $50 for the 2014 year.  This increase would cover expenses to have help hired for beautification and upkeep of the common areas.   This increase is necessary due to declining number of homeowner volunteers during the spring cleanups.

Thank you to Martha and Mark Larson, Darrell and Andrea Ratermann, Steve Knowles, Jude Kiah, and Barb Brown for working on cleaning up the entrance to Meadowbrook on the Spring Clean Up day. 

 

Doris and Bill Burton have been taking care of the entrance sign for many years.  We thank the Burton’s for their service!  They have done a great job and are ready to hand this on to a new volunteer.  If you would like to work on beautification around the entrance sign please contact Martha Larson @ 309 333-6822.

 

Marilynn Hopper will contact Jeff Lee to see if the roads can be swept of loose gravel. 

 

New Business:

Jason Cale made a motion to set aside $40 for beautification purposes for the entrance of Meadowbrook by the sign.  The motion was seconded by Mike Brown and approved without opposition. 

 

Due to the low turnout of volunteers for spring clean up, an idea was proposed to look into hiring an organization to do this service for our community.  In-order to do this, 2014 dues may need to be raised.

 The Spring Clean up date has been set for March 23rd with a rain date for April 6th.

 Due to Macomb Prom being held on May 11th, a motion was made by Martha Larson to move the Annual Yard sale to May 4th.  Motion was seconded by Jason Cale and approved without opposition.  Large item pick up will be arranged for the week following. 

 New Business:

 Martha Larson suggested we look into seeing if Public Works can street sweep the streets of Meadowbrook to help remove rocks that are in the street.  President Nick Knowles stated he would contact the director of Public Works to see if this was possible.

Meeting of January 13, 2013

Emmet-Chalmers Fire Station

Meeting to Order was called by Martha Larson at 7:06pm.

 

Minutes were approved on a motion by Marilyn Hopper, seconded by Jason Cale. 

 

Treasurer’s Report: Martha Larson

 

91 households have paid for 2013. 

Lists were distributed to area representatives of households that have yet to pay.

Sewer Committee Report: Dave Taylor

 

 

Sewer report was approved on a motion by Sarah Williams, seconded by Bob Northcutt 

 

Burn Pile Committee

 

The burn pile will be closed January 1st until Spring. 

 

Old Business:

 

The following Area Reps have been reelected. 

 

Area 1 Rep – Bob Northcutt(term ends in 2012)

Area 7 Rep – Dave Taylor (term ends in 2012)

Area 8 Rep – Mark Larsen (term ends in 2012)

 New Business:

 

Doris and Bill Burton have been taking care of the entrance sign for many years.  We thank the Burton’s for their service!  They have done a great job and are ready to hand this on to a new volunteer.  If you would like to work on beautification around the entrance sign please contact Martha Larson @ 309 333-6822.

 

Directories were passed out to Area Representatives.  Please check information.  If there need to be corrections please contact Andrea at akidr2@gmail.com so it can be correct in the next edition.

 

The Spring Clean up date has been set for March 23rd with a rain date for April 6th

Motion approved on a motion by Lori Szabo, seconded by Dave Taylor.

 

The Annual Yard Sale date is tentatively set for Saturday May 11th

Quorum was met with 24 households represented.
 
Meeting to Order
PresidentNick Knowles called the meeting to order at 7:03 pm.  Copies of the minutes of the Annual Meeting of January 2012 were distributed to the members present so a reading of the minutes was waived.  On a motion by Irina Anareeva, seconded by Dave Taylor the minutes were unanimously approved.
 
Financial Reports
Sewer Committee:  The 2012 Annual Financial Report was presented by Dave Taylor and unanimously approved on a motion by Mike Brown, seconded by Peggy Ma.  
There were a number of expenses this year due to equipment repair and maintenance.  The storage shed was also rebuilt.  
The balance for 2012 was $1857.72.
The 2013 Sewer budget was presented by Dave Taylor.  Dave asked that if anyone would have knowledge/experience writing grants to contact him.    
EPA reports have all come back fine.  A motion to approve the 2013 Sewer budget was made by Jeff Wayland, seconded by Martha Larson.


MCA Treasurer’s Report:  Martha Larson, presented the 2012 Report and 2013 Budget.  106 houses paid their dues this year.  Liability insurance had not been paid in 2011, therefore 640 was paid in 2012.  
Administrative costs were incurred for postage/paper for dues reminders. 
No expenses were turned in by the social committee but we have maintained a budget for expenses for next year.  
Expenses for 2013 should be similar to 2012.  

The Treasurer’s report was approved on a motion by Steve Knowles, seconded by Skip Skripps.  
The 2013 Budget was approved on a motion by Sarah Williams, seconded by Mike Brown.  

Luminaries:  Luminaires were placed and lit on Christmas Eve and Christmas night.  Special thanks to Steve Knowles, Dave Taylor, Nancy Chu, Bob Northcutt, Nick Knowles, and Jeff Wayland and all the residents who continue this tradition.

Recreation Committee:  The annual yard sales went very well.  We will be setting the date for the 2012 yard sale soon.  

We had a fall picnic in November with the Children’s parade with a cook out that followed.  The numbers were low so we will be looking at an earlier date to help build this community event.  

Beautification Award: 

The Beautification Award was given to the Troy and Libby Heaton.

Clean-up Days: 
Spring Clean Up Day – President Nick Knowles reports that this date will be decided soon and sent to all members.  

Burn Pile Committee

A HUGE thank you to Bob Northcutt for all the work he has done with the burn pile.  He added rock to the road and helped clean up the burning area.  We do have some work planned for 2013, such as have a compost area for leaves and having separate areas for the acceptable items that are deposited on the burn pile.  Bob has saved the association several hundred dollars with all the work he has done.

Nominating Committee –  Larry Zigler had previously been slated to be the President Elect but had other obligations that have conflicted with board meetings.  Marilyn Hopper made a motion to have Nick Knowles be slated as President for 2013.  We still need a community member to be the 2013 President Elect.

We had a record setting number of calls of 64.  38 have been medical calls, 8 structure fires, 6 brush fires, and the rest were accidents or miscellaneous calls.  We did do a new activity this year and brought Santa to the local neighborhoods.  We now have a facebook page that has warnings, burn bans, and local events.  We thank everyone, we were able to push out a referendum and it has helped us greatly with maintenance and purchases.  We are looking for volunteers.  We are down in numbers.  We have college students who help when school sessions are in but we are greatly in need of volunteers.  Tuesday January 15th, 6pm, we have training for volunteers.  If you or anyone you know may be interested in volunteering, you are encouraged to stop in.  

President’s Wrap-Up – President Nick Knowles graciously accepts another year on the board.  He reminds residents to work with each other to resolve neighborly disputes.  He thanks all the board members for their work in 2012!

The February meeting will be held at Nick Knowles’ residence.

Treasurer’s Report: Martha Larson

About 50 households have already paid their 2013 dues.  Dues should be turned in by January 31st.  106 houses paid in 2012. 

Expenses for directories will still be paid and posted for 2012.  Mowing expenses were 200.00 and Ameren was 12.13.

We made $0.12 in interest on our savings account.

Sewer Committee Report: Dave Taylor

Notices for 2013 sewer fees have been sent out.

An electronic box at the end of Fawn Ridge still needs work.  This will be very expensive but is necessary.  Some of this equipment dates back to the 70’s. 

Major expenses in December 2012 include $1524.62 to Allenhouse, $316.08 to CIPS, and $230.00 to Larry Youell. 

Balance on 12/31/12 $1857.72

Maryilnn Hopper made a motion to pay the Emmet Chalmer’s Fire Department $600 in 2013 and to pay $600 for 2012.  This motion was seconded by Martha Larson.  The motion was approved without opposition.
